This memo went out today to all faculty and staff, in case you missed it. Students should take note of the policy as well and keep in mind not to transmit this information online (or via email) either.
Confidential and protected student information is not to be disclosed on the Internet. Such disclosure is impermissible and, in some cases, unlawful.
The Office of Academic Affairs, the Office of the Vice President for Health Sciences, and the Information Security Office, in consultation with the Office of the Vice President for Legal Affairs and General Counsel, would like to remind everyone that publishing confidential information or any other data that can be linked to a specific student’s identity is not permitted. This information includes but is not limited to the following:
- WVU ID Number (700 #) (in whole or in part)
- Social Security Number (in whole or in part)
- Grades/GPA Test Scores
By publishing such information, faculty or staff may be violating a multitude of policies, regulations, and/or laws, such as those listed below. Impermissible disclosures place our students at risk for potential embarrassment, identity theft, or worse. Additionally, such disclosures place the University at risk for legal action or substantial fines. Ultimately, though, the person responsible for the disclosure is at risk for personal legal liability or other adverse action. Faculty accustomed to posting grades in any unsecured environment, i.e., any on-line environment other than e-Campus or SOLE for Health Sciences, must cease and desist immediately. Further, all deans, directors, department heads, faculty, and staff are specifically instructed to take appropriate corrective measures for any disclosure of confidential or protected information for which he or she may be responsible.
